2b) Adding to the Learner database

To add a Learner to the Learner database, click on the “Insert” button (Highlighted in Yellow above) and this will start the people wizard.

The important details to enter on this “Main Details” screen are the Forename, Surname, Postcode and Address.

For the address enter the postcode and then press the Check Address button. This will fill in the address – all that is then required is to add the house number/name to the first line.

The other fields can be completed at your discretion.

Click Next to move to the next screen

On the “Contact Details” screen the important details that should be entered are the “Contact Preferences” and the “GDPR preferences are confirmed” sections for the Learner. The other fields can be completed at your discretion – you will have to ensure that a telephone number or email address has been entered for the Learner if this preference has been confirmed by the Learner.

If the Reference field is left blank the system will generate a Learner account number for you.

Click Next to move to the next screen

On the “Personal Details” screen the important details that need to be entered are; Gender, Birth Date, Concession, Ethnic Origin, LLDD information and Prior Attainment of the Learner.

If the Learner has no LLDD then leave the Primary, Secondary and Third lines blank.

If the National Insurance number is known please enter the code without the “-“.

If the Unique Learner Number is known please enter this.

Tick the Add employment status details (see section 2bi).

The next screen allows you to add notes to the Learners account, this is entirely optional. Click the Finish button to add the Learner.
